OHSU is seeking a detail-oriented and collaborative Wellness Coordinator with a passion for wellness to support the development and implementation of wellness resources and programming serving OHSU's employee members.
The Wellness Coordinator will support the administrative needs of the OHSU Wellbeing Leadership Team, including scheduling services and meetings, collecting and reporting data, overseeing email communications, and managing meeting agendas and minutes. This position will coordinate the psychological resilience consult service including responding to all queries, scheduling sessions, meetings, collecting and collating feedback from workshops. This position will report to the Wellness Program Manager in Human Resources, and under supervision from the OHSU Wellbeing Taskforce. This new and varied role will involve efficiently managing day-to-day schedules for the wellness services offered, and oversight of communications within the leadership team and with the members served.
This position provides the exciting opportunity to help grow OHSU's employee wellness program. This position will require a detail-oriented Coordinator with a high-level of agility and self-direction, with strong interpersonal, communication, problem solving and organizational skills as they help develop new processes and systems in evolving circumstances.
Function/Duties of Position
Wellness Steering Committee Support (50%)
Manage scheduling for new and follow-up wellness services, including but not limited to, psychological support consult services and listening sessions
Manage scheduling and communications for Wellness Advisory Committee
Manage communications and solicit feedback among stakeholders
Track and report on utilization data
Track and report on the Wellness Steering Committee activities and initiatives
Meeting support - facilitation, agenda management and meeting minutes
Track and report on budget status
Collaborate in strategic planning with the Wellness Taskforce and the Wellness Advisory Committee in how to best identify and meet the wellness needs of OHSU members
Collaboration and Communications (15%)
Manage email communications for the Wellness Steering Committee, serving as a first point of contact for members reaching out for wellness resources and support
Proactively raise awareness of wellness programs and resources, including developing outreach and educational materials, and promotional communications to raise awareness of services
Work collaboratively with institutional partners including Student Health and Wellness, the Resident & Faculty Wellness Program, Occupational Health, the Culture of Safety Committee, the Joy in Work initiative, Spark Wellness, Food and Nutrition Services, the Employee Benefits Council, Human Resources, and others
Associate's degree in related field, or equivalent education/experience
2 years of progressively responsible administrative experience preferably some HR and employee wellness experience
Strong and demonstrated interest in behavioral health, wellness and/or social services
Experience working with diverse, vulnerable populations
Experience collecting and reporting on participatory or program utilization data
Experience in tracking expenditures and maintaining a budget
Experience creating marketing and promotional materials
Job Related Knowledge, Skills and Abilities (Competencies):
Proficiency with Microsoft Office (Word, Excel, Acrobat, PowerPoint) and general computer and internet use
Demonstrate initiative, be a self-starter and be comfortable adapting and problem-solving in the evolving circumstances associated with new and changing programs and services
Be comfortable working independently as well as on a team
High level of attention to detail and strong organizational skills
Demonstrate excellent verbal and written communication skills, including the ability to listen for understanding and communicate effectively across cultures and backgrounds
Maintain a high level of confidentiality
Be able to pass a federal criminal history background check

Experience in wellness-related initiatives with healthcare providers, educators and/or researchers
Experience providing excellent customer service and addressing member concerns through a trauma-informed lens
Experience starting a new program or service, including developing new processes and systems
Experience in website development and/or maintenance
