Position Summary:
The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of advancing UCI's brilliant future and the vision of becoming world-class campus partners. DFA serves the university as planning partners, problem solvers, and solution providers-striving to make it as easy as possible for people to get the services they need, when they need them. Through campuswide collaboration, DFA continuously focus on maintaining a safe and attractive environment for students, faculty, staff, and visitors; ensuring buildings and other infrastructure perform efficiently and are well maintained. DFA designs and builds the physical campus via a long-range development plan focused on sustainable practices. DFA provides professional services in the areas of accounting, purchasing, internal audit, risk management, public safety, design & construction, capital planning, and transportation. DFA is focused on continuous improvement in delivering excellent and ever more efficient service to our clients. DFA's goal is to make a significant increase in quality and productivity across campus. The Office of the CFO and Vice Chancellors Office leads DFA and is proud to support the campus community and the University of California as a whole. The immediate office focuses on budget and analysis, process improvement, strategy, communications and executive administration
Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small organizational unit with high profile scope. Reports to the Director of Operations in the Office of the CFO and Vice Chancellor, Division of Finance and Administration (DFA). Perform short- and long-term planning for the organization. Supervise career staff and students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Manages activities in UCI's main campus administration building, Aldrich Hall, which houses several distinct departments from multiple divisions that report through various coordinating points. Develops plans for, manages communications about, and advises on the appropriate and efficient use of building resources. In coordination with critical resources (police, fire and rescue, campus emergency management, environmental health and safety, and executive leadership, manages building operations, safety/security activities, and emergency management preparations and response.

Five years of experience in building management, facilities management, property management or related industry
Bachelor's degree in related area and / or equivalent experience / training.
Strong skills in short-term planning, analysis, problem-solving, and customer service. Strong Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills in order to effectively develop cooperative working relationships with a broad audience of students, staff, faculty and senior leadership, as well as visitors including future students, parents, dignitaries, emergency responders and demonstrators . Ability to use discretion and maintain confidentiality.
Preferred:
Experience with construction and renovation project management for large research and teaching facilities Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management. Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff employees. Knowledge of a variety of administrative operational activities such as event planning, risk management planning, website design, accounting and payroll, and Solid knowledge of common University-specific computer application programs such as UCI Buy, Facilities systems, KFS, UCPath, etc.
Special Conditions Required:
Must be willing to work outside regular work hours Must possess valid California Driver's license Ability to work 100% on-site
