POSITION DETAILS

Reporting to the Executive Director of Finance and Business, the Fixed Assets and Receiving Manager is responsible for the administration of the following areas of the Property Management, Receiving and Stores:

Asset Manager specific responsibilities include :

??? Maintaining a computerized inventory of existing and acquired assets

??? Supervising the inventory of all equipment and furniture

??? Reconciling all equipment records on an annual basis

??? Assessing conformation with all governmental guidelines and applicable

accounting and auditing standards

??? Supervising the decaling and/or recording by numbers of college equipment

??? Overseeing the administration, placement, transfer and disposal of equipment to

other offices and location

??? Creating maintaining and updating records on damaged, lost and stolen equipment

??? Supervising the reconciliation of equipment records on financial reports and

preparing monthly status reports

??? Administering staff loner program and maintaining related accountability

??? Coordinating with IT and Security to report, track and recover unfound inventory

??? Developing and implementing inventory system for non-inventorial assets

??? Assisting the Executive Director for Financial and Business Services in the

development of policies and strategies to safeguard the college assets

??? Liaising with heads of departments, monitoring and maintaining accountability

records for departmental asset portfolio

??? Liaising with IIR during exit interviews for asset recovery

??? Representing the Property Management Department at and attend meetings as

required

Managing Receiving and Stores specific responsibilities include :

??? Supervising the maintenance of perpetual inventory of stock for classroom

supplies etc.

??? Supervising the receiving and stockroom staff and activities

??? Preparing and updating areas' procedure manual

??? Utilizing CUNYFirst system to manage receiving notification

??? Operating arrival system and utilizing system to automate delivery recordings

??? Creating and maintaining receiving and delivery procedure for Tax Levy, Non-

Tax Levy, and Research Foundation related purchases

??? Computerizing departmental supplies history, and budget and manage supplies

accordingly

??? Coordinating with IT to maintain a JIT equipment delivery and installation process

??? Managing multiple storage sites for the college assets

QUALIFICATIONS

Bachelor's Degree and four years' related experience required.

Administers facilities and property management programs in a College or unit.

• Manages inventory and control of all College fixed assets and equipment
• Develops and implements procedures for acquiring, recording, and tracking all equipment and fixed assets; manages activities such as physical inventories and maintenance of related information systems
• Independently develops procedures to improve accountability for furniture and equipment and provides communications to the College community
• Reviews requisitions, purchase orders, and encumbrance documents to reconcile financial information
• Oversees proper equipment disposal, transfer and salvage activities following City, State, and Federal regulations, and in accordance with University policy; coordinates with Environmental Health and Safety personnel on the disposal of items with environmental impact
• May supervise personnel responsible for property management activities
• Performs related duties as assigned.

COMPENSATION AND BENEFITS

$51,242 - $68,861

On November 2022 a 2% increase in salary will take effect per PSC-CUNY union contract.

Salary commensurate with education and experience.
