We are seeking a Senior Administrative Coordinator who willprovide high-level project management and administrative support in a fast-paced environment to the Board of Trustees and the Secretary of the Board. As this position involves considerable work specific to issues of a sensitive and confidential nature, the senior administrative coordinator must demonstrate careful judgment, diplomacy, a high level of discretion and the ability to work independently in a fast-paced environment. The senior administrative coordinator will work effectively with senior leaders at the university as well as external constituents.
Specific Duties & Responsibilities
Assist with a variety of events, including campus visits, building dedications, Trustee events, Commencement, Convocation, and other special events.(25%).
Assist with Board meeting planning and execution (this may require out-of-state venues), including contracts, invitations, travel arrangements, catering, room reservations, AV requirements, and other aspects as needed. (20%).
Work closely with the Assistant Secretary and other team members on a variety of tasks, including the responsibilities below. (15%)
Managing Trustee requests.
Helping with collecting information for archival purposes.
Assisting with the annual publication and online updates of the Trustee Handbook. Updating the Trustee and Name Review Board websites.
Help ensure conflict-free calendars of meetings and appointments for Secretary of the Board, as well as, for members of the Board of Trustees, exercising a high level of independent judgment in prioritizing requests for time and in resolving scheduling conflicts. (15%)
Process monthly expense statements (including reimbursements) using the university's policies and processes. (15%)
Perform administrative duties, including managing correspondence, telephone calls, emails, and voicemails. (10%)
Work closely with other University administrative support, and independently anticipate issues to ensure efficient service and operations.
Effectively communicate with University leadership.
Special Knowledge Skills & Abilities
Excellent writing, editorial and verbal communication skills.
Some project management and event planning experience.
Ability to take initiative and exercise independent judgment to resolve administrative problems; excellent organizational skills with attention to detail.
Strong interpersonal skills and ability to work as part of a team.
Strong computer literacy skills and ability to learn new software.
Ability to work in a dynamic, fast-paced environment and respond quickly to changing priorities.
Ability to work with senior leadership at Johns Hopkins as well as with a variety of external constituents.
High School Diploma or graduation equivalent.
Five years progressively responsible administrative experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Bachelor's Degree strongly preferred.
