We are seeking a Sr. Administrative Coordinator. The Center for Social Concern (CSC) fosters a lifelong commitment to active citizenship by integrating education, action, and reflection into community-focused programming for Hopkins' students within Baltimore City. The Senior Administrative Coordinator role is critical in providing administrative, programmatic, and financial management support to the Center for Social Concern's portfolio, advancing our mission. This position will be highly detailed and technical and require exceptional administrative judgment and communication with a diverse network of people.
The candidate will be responsible for maintaining a foundational level knowledge of a variety of programs and financial management platforms that support departmental operational processes. The ideal candidate for this role will be a collaborative team member as they will work with all CSC staff members to support the CSC's office and financial management as well as logistical support.
The role provides calendar management for the executive director, coordinates departmental meetings (in-person and virtual), maintains office supplies, on-site facilities coordination, logistics management for programs and events, and assists with special projects. Reporting to the CSC operations leadership, this position will perform a wide variety of duties and administrative tasks necessary for smooth operation of the Center.
Specific Duties & Responsibilities
Office Management/Administrative Support 30%
Ensures smooth management of the day-to-day administrative operations of the Center including coordination with IT services, Jcard management, events and scheduling, housing, facilities, catering, and other campus departments and vendors as needed to ensure general office and event maintenance.
Manages inventory of office supplies and places new orders as needed.
Supports management of the general email inbox and responds to inquiries in a timely manner.
Coordinates complex staff meetings (in-person and virtual via conferencing platforms); organizes meeting materials, agendas, and meeting minutes as needed.
Calendar management of the executive director and additional centralized department calendars such as parking pad, staff meetings, vacation, programming, office meeting rooms, etc.
Coordinates travel for CSC staff guests as needed.
Supports special projects and events as required.
Financial Management and Logistical Support 70%
Provides risk management, operational and financial management support for CSC programs that includes: platform management, supply purchasing, room reservation requests, transportation coordination, and overseeing general budget management.
Manages Lyft Program for all CSC programs through Hopkins Engage & Lyft platform and overall transportation to support CSC programs as needed.
Supports budget analyst as needed to process financial management transactions such as student timesheets, invoices, reimbursements, and honorariums.
Minimum Qualifications
High School Diploma/GED required.
Five years' progressively responsible experience providing administrative support to multiple supervisors and leaders.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Associate's or Bachelor's Degree preferred.
Three years' experience in event planning, logistics, or coordination desired.
Experience in a professional setting providing office management and administrative assistance is preferred.
