The Development Coordinator is a go-to resource for the Department of Neurology's development team. This position is responsible for assisting the Department of Neurology at the Fund for Johns Hopkins Medicine, with responsibilities for gift processing and acknowledgment, fund management, data reporting, relationship management, and administrative support. This position will report to the Administrative Supervisor for Neurology Development.
The Johns Hopkins Department of Neurology processes 3,500-4,000 gifts annually. All charitable gifts and the creation of new accounts (current use and endowment) for the Department of Neurology flow through the Development Office. The number of donors, the fast pace of the office, and the complexity of many gifts require a high level of independent thinking, attention to detail, flexibility, advanced computer skills, and excellent interpersonal and written communication. In addition to the importance of gift processing, the Development Coordinator will aid in the creation of a number of new accounts, which are often needed along the timeline of gift processing. Acknowledgments (both the drafting and editing of) will be an important aspect of the role, as the Development Coordinator will need to send such acknowledgments to both JH leadership and NEUR gift officers for approval/signature. Data reporting is also an important aspect of the role – the Development Coordinator will help maintain the integrity of data, as well as update/create new reporting systems.
Primary Duties and Responsibilities
Gift Processing
Receive gifts via mail, FedEx, Interoffice, emails/online, phone calls, and fax. Understand the specific issues associated with receiving gifts from each source, and how to handle and process these gifts utilizing the appropriate software.
Process charitable gifts to the Department of Neurology's 14 divisions, deposit funds to appropriate accounts, and work with divisional finance teams to create new accounts and endowments, as needed. This position requires interaction with faculty, the Johns Hopkins University Treasurer's Office, Development Business Services, the Office of Research and Sponsored Projects, departmental and division administration and appropriate offices within the Fund for Johns Hopkins Medicine.
Learn and apply approved gift processing procedures; use document management system (Paywire) to process all gifts; upload gifts into Contribution Processing Automation (CPA), which enters them into Development Database (ALADIN).
When needed/appropriate, aid in the creation of new accounts, including endowments.
Serve as the primary point of contact with the Office of Research and Sponsored Projects to ensure the appropriate processing and recording of philanthropic grants.
Working closely with gift officers, create proposals in Aladin and link gifts, ensuring donors' records are accurate and complete.
Reporting, and Data Integrity and Analytics
Develop and maintain strong relationships with collaborating offices (i.e. Office of Medical Annual Giving, faculty offices, administration) to resolve gift related issues.
Report on gift activity to the Development team weekly; program, maintain and distribute monthly gift reports to faculty members; draft monthly President's Report.
Communicate with Neurology finance teams and distribute monthly reports of gifts to their accounts for SAP reconciliation.
Maintain an expert knowledge of Aladin constituent record protocols.
Continue to update constituent & prospect data in Aladin through refresh/clean-up projects. Develop plans for such Aladin clean-up work.
This position will be one of those responsible for handling the best practices/data reporting as related to the eventual new JH CRM.
Design and produce reports (financial and/or development) as required, utilizing Excel, Word and Aladin.
Download data regarding pledge reminders, review for accuracy and draft corresponding documentation.
Attain and maintain fluency in third-party fundraising CRMs used by the Department of Neurology.
Prepare, draft and personalize acknowledgment letters for JH leadership, when appropriate.
Prepare, draft and personalize acknowledgment letters and email templates for NEUR gift officers, on a weekly basis.
Write timely and personalized acknowledgment letters for the Chairman and gift officers in the Department of Neurology. Refresh and rewrite acknowledgments and templates as needed. Research and track donor giving history as needed. Determine appropriate and specific format for thank you letters.
Adapt creative acknowledgement process for electronic communications; this includes creating acknowledgement graphics and email templates.
Correspond with affiliated family members and also manage the tracking, reporting and notification process for memorial and honorary donations.
Main Office/Administrative Duties
Support development team with answering phones, photocopying, filing, organization, and other basic administrative tasks.
Aid the Office of the Director of the Department of Neurology in administrative tasks, which include updating and creating posts for the Department's Intranet page.
Help with the administrative duties of other FJHM departments (including gift processing, acknowledgments, reporting, etc.) when requested.
Minimum Qualifications
High School Diploma or graduation equivalent.
Three years related administrative experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Bachelor's degree.
Ability to work independently, manage multiple projects simultaneously, determine priorities, and maintain a high degree of professionalism and confidentiality.
Possess excellent interpersonal skills and enjoy teamwork.
Demonstrate strong organizational skills.
Excellent writing, editorial and verbal communication skills.
