We are seeking a Program Coordinator for the U.S.–ASEAN Institute for Rising Leaders Fellowship will work with the Director of the U.S.–ASEAN Institute for Rising Leaders to support and run the program. The coordinator will have a range of administrative, operational, and programmatic responsibilities including providing support to the Director and the program, events planning, supporting curriculum planning, co-curricular activities, and programs for the fellowship. The coordinator will play a key role in maintaining the fellowship through proper reporting, monitoring, and review of fellowship requirements. The Program Coordinator will also assist, when applicable, in grant/government proposal writing and/or renewal of the fellowship or other related programs.
The U.S.–ASEAN Institute for Rising Leaders Fellowship, announced by the White House in conjunction with the May 2022 ASEAN–U.S. Special Summit, will bring up to 30 mid-career public service professionals from ASEAN countries to the Johns Hopkins School of Advanced International Studies (SAIS) in Washington for a leadership development program beginning in the summer of 2023.
Specific Duties & Responsibilities
60% -- Manage fellowship events and programs logistics, including
Managing end-to-end events planning and logistics.
Identifying and securing guest speakers.
Researching potential programming.
Managing and coordinating travel arrangements for fellows and others involved.
Providing on-site event support.
Tracking expenditures and reconciling financial records.
Assisting with fellowship renewals when applicable.
Working with the Director to create semi-annual and end of year reports on the progress of the program.
Responding to inquiries regarding the program.
25% -- Curriculum and program planning and assessment, including
Supporting the preparation and implementation of the curriculum.
Identifying evaluation methods and benchmarks.
Reviewing program learning outcomes.
Establishing tools to aid in data analysis, and reporting on outcomes.
Advising fellows prior to, and during, their residency.
Evaluating the curriculum for improvements.
Supporting design and implementation of fellowship alumni activities.
10% -- Budgeting, including
Managing and processing invoices.
Processing reimbursements.
Submitting program reimbursements through Wide-Area Workflow system (WAWF).
Assisting with balancing the budget annually.
5% -- General Administrative Support, including
Providing general administrative support to the Director/Lead Instructor as needed.
Scheduling meetings.
Supervising student workers—as needed.
Other duties as assigned.
Minimum Qualifications
High School Diploma or graduation equivalent required. Bachelor's degree strongly preferred.
Five years of progressively responsible related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Events management and program planning experience.
Previous experience with grants or contract management and budgeting highly favored.
Experience working in a university setting.

Exceptional administrative and organizational skills to work effectively in a dynamic, deadline-oriented environment that requires balancing multiple assignments simultaneously daily.
Ability to prioritize and move between different and varied tasks.
Excellent oral and written communications skills and attention to detail.

Proficient in Microsoft Office (including Excel), and able to easily learn JHU-specific software.
