This Senior Development Coordinator position provides a high-level of development-related administrative support to The Robert Packard Center for ALS Research at Johns Hopkins (Packard Center) and helps to manage the daily operations of its multifaceted fundraising office. The position reports to the Packard Centers Associate Director of Development.
This position provides support that includes executive-level assistance to the Associate Director of Development, administrative fundraising duties such as gift processing, acknowledgment, and reporting, stewardship, coordination of the Packard Centers annual fund, portfolio management, database maintenance, event planning and support including assistance with third-party fundraising efforts, and special projects and other duties as assigned.
The Senior Development Coordinator will interact and communicate with donors and prospects (who may be patients), department directors, leadership, administrators, faculty, professional colleagues, and members of the Packard Center Board of Governors (BOG) and Answer ALS Foundation.
The breadth of activity, number of internal and external partners, and fast pace of the office require a high level of accuracy, diplomacy, flexibility, confidentiality, independent thinking, and the ability to perform and problem-solve with grace under pressure.
Responsibilities
Development/Fundraising:
1.Develop and maintain expert knowledge of gift processing using the internal systems utilized by the Fund for Johns Hopkins Medicine (FJHM), Johns Hopkins University (JHU), and Development and Alumni Relations (DAR). Process, track, and acknowledge in an accurate and timely manner all gifts to the Packard Center (PACK). Analyze and resolve problems, and interpret policies.
2.Create new pledges and current use and endowment accounts. Resolve any accounting discrepancies between ALADIN and SAP gift accounts by working with DAR Business Services, FJHM, the Office of Gift Planning (OGP), and the Packard Center finance officers.
3.Develop and maintain expert knowledge of the donor database and Relationship Management system. Accurately maintain and update donor records in a timely manner. Assist with updating and maintaining accurate prospect records, entering proposals, and submitting clearance requests.
4.Compose, edit, and produce letters, documents, and other collateral materials as needed.
5.Develop and maintain expert knowledge of report generation. Generate a weekly gift and pledge report and ensure that gifts are deposited into the correct accounts and identify any gifts for the Packard Center received by other department offices. Prepare scheduled and ad hoc reports as requested by the Associate Director for use in development and for Packard Center leadership, its BOG, and donors and third-party fundraisers.
6.May serve as the first point of contact with donors who wish to initiate tribute and memorial gifts. Provide information for obituaries, and work directly with family members and honorees to notify them of gifts received.
7.Develop and maintain expert knowledge of development research policies and protocols. Submit research reports and coordinate risk review responses with the Associate Director of Development.
8.Organize and assist with solicitation and special mailings. Coordinate with the Office of Medical Annual Giving (OMAG) to proof mailing lists and review proofs of mailings. Create and maintain mailing lists as needed for solicitation mailings, newsletters, and general correspondence.
9.Assist the Packard Center team in the planning, implementation, execution, and staffing of events, such as the Packard Center ALS Research Symposium, professorship dedications, regional dinners, and other events as needed.
10.Assist the Associate Director of Development with Packard Center BOG and Answer ALS meetings, including meeting planning and preparing financial documents. Attend BOG meetings and take and edit meeting minutes.
11.Help plan and implement donor visits to the Packard Center. Reserve meeting space, coordinate lab tours, order meals, and set space if necessary. Assist with the visits.
12.Represent the Packard Center in the Relationship Management Liaison Group, the Coordinators Roundtable, and other institutional groups as appropriate.
13.Engage in continuing development education through John Hopkins My Learning and other opportunities.
Office Operations and Project Management:
1.Serve as a point of first contact for the Packard Center development team. Handle and screen incoming telephone calls, mail, faxes, emails and voicemails in a courteous, professional, and efficient manner.
2.Troubleshoot as necessary and exercise independent judgment in the resolution of administrative issues.
3.Serve as the Packard Center development liaison with donors and prospects, patients, leadership, faculty, staff and peers within FJHM and DAR.
4.Lead and facilitate communication with colleagues across FJHM and DAR, and the Packard Center on collaborative projects, and coordinate facilities, meetings and events.
5.Serve as an expert on office procedures as well as computer software applications.
6.Draft and prepare development communications; proofread and edit confidential, sensitive information.
7.Maintain the Associate Director of Developments calendar by scheduling meetings and appointments, and planning travel itineraries to ensure efficient use of time. Assist as needed with all aspects of travel, including but not limited to airfare, hotel, car rental and scheduling meetings.
8.Attend monthly Packard Center Principal Investigator (PI) meetings to witness the Packard Center mission in action and learn how to speak about its research model.
9.Order supplies, special-order materials, and equipment as needed.
10.Develop and maintain expert knowledge of development financial processes. Process receipts and manage and submit expenses in a timely manner through Concur for reimbursement. Reconcile development expenses with the Packard Center development budget.
11.As needed, coordinate the payment process for external vendors with Packard Center finance. Properly document all charges and account for all receipts.
12.Work independently and manage multiple projects from inception to completion simultaneously. Determine daily priorities within the Packard Center development realm and maintain a high level of professionalism, diplomacy, and confidentiality.
13.Build and maintain professional relationships and effectively communicate with donors, prospects, patients, leadership, department directors, faculty, administrators, and professional colleagues over the telephone, in person, and in writing.
14.Utilize computer networks, software, and applications including Word, Excel, and PowerPoint for management and production of heavy incoming and outgoing paper flow, prepare presentations and ensure an efficient office operation.
The Senior Development Coordinator must possess effective relationship-building and communication skills and be highly organized, with the ability to strategically set priorities and to re-evaluate those priorities on a regular basis to flourish in a fast-paced environment. The Senior Development Coordinator must be a self-starter, able to manage several projects simultaneously, and have strong attention to detail. The Senior Development Coordinator must be a cooperative and collegial individual who enjoys working with diverse populations and who possesses the ability to use discretion, especially when handling confidential information.
Minimum Qualifications
High School Diploma or graduation equivalent.
Five years related administrative experience, with one year experience in a Development office preferred.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Bachelor's degree.
Strong knowledge of university or health system development and or development operations.
Excellent interpersonal and oral communication skills.
Demonstrated effective writing and editorial skills.
Ability to work independently and as part of a team - take initiative, be a self-starter, proactive problem solver, have perseverance, maintain a high degree of professionalism, diplomacy, and confidentiality.
Comfortable working in a complex, multi-department organization and dynamic, fast-paced environment.
Experience working with broadly diverse groups of constituents such as patients, donors, prospects, leadership, department directors, faculty, administrators, and professional colleagues.
Ability to perform well under pressure within time constraints with the highest degree of accuracy and effectiveness.
Strong organizational, mathematical, and analytical skills, and the ability to prioritize and manage more than one project simultaneously required.
Strong computer literacy skills and the aptitude to learn new software required. Possess excellent word processing and database management skills, and significant PC experience with a thorough working knowledge of Windows, Word, Excel, Access, PowerPoint, and the internet. SAP knowledge is preferred.
Ability to be flexible with scheduling as this position may require occasional evening or weekend hours.
Empathy and kindness in dealing with a community affiliated with an orphan disease which is fatal and for which there is no cure.
