Job Summary The Occupational Health Services (OHS) Specialist will serve as a resource to managers, employees, new hires, Associated Personnel, and Medical Staff Office Administration for onboarding and health screening needs.
The OHS Service Specialist will:
Ensure that appropriate documentation is prepared and maintained. Facilitate scheduling of appointments and completion of forms and is available to address concerns
Support OHS Clinicians related to employee visits, medical records, and correspondence with other medical providers
Act as subject matter expert for proper responses to inquiries by phone, in person, or by email regarding AP and medical staff HR activity
Communicate with new hires for employment needs, collect and assemble new hire data, and transact new hire data entry in the appropriate system
Administer workflow of AP SharePoint application, ensures the integrity of data submissions by department administrators, respond to questions about processing status and transact AP data entry in PeopleSoft; maintain metrics for services provided
Maintain AP and employee records according to HR records retention policies and practices.
Maintain medical documentation and conducts processes associated with worker's compensation, fit testing, records management, and compliance
Coordinate front desk operations or telephone support
Assists OHS Practice Administrator in managing inventory, ordering, and invoices as needed
To qualify, you must have:
Associates Degree is required; Bachelor's degree is preferred
Minimum of 3 year's of experience in an office setting; preferably in a medical or HR setting
Experience with data entry and coordinating high-volume administrative processes
Communication skills in order to effectively deal with conflicting views or issues and mediate fair solutions or well-developed writing skills
Ability to communicate at all levels
Ability to work independently and as part of a team
Knowledge of Microsoft Office products
Customer service oriented, which includes the ability to interact professionally and handle sensitive information/issues in a confidential and respectful manner
