Department Overview

The Leave of Absence Specialist serves as the subject matter expert for the leave process, including State/Federal protected leaves as well organization policy. The position is responsible for a variety of leaves- related tasks such tracking leaves, initiating and ending leaves.

Responsible for performing various audits to ensure compliance. Providing support to the leaves and accommodation processes including collaboration with and communication to employees, managers, occupational health and Office of civil rights investigations and compliance.

Function/Duties of Position

Employee Communication

• Respond to requests and questions from employees and managers; assist with complex emails and phone calls. Send out leave exhaust notification letters, assist with the leaves exhaust intake process.

Leaves Administration and Processing

• Manage the tracking of all employees on leave and how their benefits are impacted; process benefits reinstatements and terminations for employees on leave; determine employees who need retroactive benefit deductions; calculate and process retroactive benefit deductions. This position will also determine benefits eligibility changes for employees on Workers Comp; audit Oracle HRE transactions due to leave to ensure correct processing; and run reports to send reminders for missing HRE transactions that need to be initiated.

Others duties

• Update content for the Leaves websites, present leave and disability training for employees, managers and other stakeholders. Assist with Open enrollment needs.

Required Qualifications

• High School diploma or equivalent

• 2 years of administering Federal/State protected leaves of absence or HR experience

• Experience managing high volume of emails and phone calls and dealing with complex issues.

• Familiar with disability insurance and other benefit plans

• Ability to analyze, problem solve and resolve situations.

• Knowledge of leave requirements and other legal/federal protections

• Excellent Excel skills and proficiency in Microsoft office suite

• Ability to use software to develop spreadsheets, databases, and do word processing

• Excellent written, verbal and communication skills

• Compliance with Code of Conduct, Respect in the workplace and Applicable policies, procedures and agreements related to position, department or OHSU as a whole
• Must be able to perform the essential functions of the position with or without accommodation

Preferred Qualifications

• Undergraduate degree in related field

• Experience administering ADA accommodations

• Experience working in a union environment

• Knowledge of Oracle or HRIS

• CLMS (certified leave management specialist) SHRM or equivalent
