We are seeking an Accounting Specialist who will provide purchasing, accounts payable, and account reconciliation support to each department within the Sheridan Library. The candidate will submit contracts for review, prepare purchase orders, coordinate vendor set-up, submit invoices for payment, research transactions, etc. The candidate will be a detail-oriented team player who is committed to responsiveness and customer service.
Specific Duties & Responsibilities
Prepare and issue purchase orders, blanket orders, emergency orders, vendor invoices, and entering goods receipts.
Use SAP to create shopping carts, process vendor and independent contractor payments, etc. - ensuring accuracy in all transactions by independently verifying invoices, GL codes, approval signatures, PO numbers, etc.
Identify and resolve vendor payment issues.
Verify, document, and allocate purchasing card transactions.
Work closely with Accounts Payable Shared Services, Supply Chain Shared Services, and Purchasing to ensure adherence to policy and to resolve issues.
Track and maintain contracts. Monitor upcoming expirations and proactively initiate renewal discussions with management.
Assist management with running and analyzing regular and ad hoc financial reports.
Monitor accounts to ensure that expenses are not in excess of budgets; research discrepancies and assist with problem resolution.
Assist staff with entering travel reimbursement in Concur.
Evaluate and determine best practices.
Provide a high level of customer service to vendors and internal customers.
Communicate professionally and effectively with various constituencies and develop excellent working relationships with all departments.
Provides miscellaneous administrative support to Sr Director of Finance and Administration.
Other duties as assigned.

Physical Requirements

Candidate is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
Candidate will be required to communicate regularly via telephone, email, and face to face with internal and external audiences and must be able to exchange accurate and timely information in these settings.
Minimum Qualifications
High School Diploma or graduation equivalent.
Two years related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Bachelor's Degree.
5 years related financial processing experience.
Knowledge of SAP, or other accounting software.
Prior experience with bookkeeping.
