Position Summary:
We are a patient-centered anesthesia team providing exceptional perioperative care while advancing the science of anesthesiology and developing the next generation of leaders in our field.
Under the general supervision of the Finance Manager, this position coordinates, audits and processes Procurement, Travel and Reimbursement requests. Ensures compliance with all University purchasing and financial policies and procedures; independently researchers and provides information and options to faculty and departmental personnel. Facilitates requests from individuals within the department and maintains excellent communication with Faculty, Residents, Administration and external agencies and/or vendors.

$27.34 - $32.64 (Hourly Rate) Expected Pay Range within the Full Salary Range $27.34 - $39.18 (Hourly Rate)
Required:
Ability to work independently, organizing and processing detailed work, with changing priorities, time constraints, frequent interruptions and general supervision.
Ability to communicate clearly and effectively to request additional information, place and expedite orders, explain regulations, provide updates on Required order status, arrange for returns, close out orders, and coordinate repairs and maintenance requests.
Skill to analyze and determine appropriate policy, how to best process request, whether additional information is needed, how best to obtain additional information, and when to consult with colleagues, supervisor, and/or experts in central Purchasing or Accounting.
Ability to complete job assignments accurately, quickly yet thoroughly, and reliably under extremely heavy workloads.
Ability to use good judgment and make use of available resources.
Strong customer service skills to respond politely and diplomatically to requests for service and resolve internal customers issues.
Working knowledge of University Procurement, Accounting, Receiving, Bookstore, and El-l&S Departments, systems, and organizational structures.
Knowledge of purchasing, shipping, and warranty terminology.
Knowledge of scientific and technical terminology sufficient to recognize subject matter of purchase requisitions received.
Ability to maintain strong ethical and professional approach to work.
Working knowledge of personal computer systems, Microsoft Office software, University purchasing and financial systems, ability to quickly perform data entry, maintain databases, and retrieve data for order research, status queries, or reporting.
Ability to maintain confidentiality and exercise discretion.
Ability to initiate and maintain organized electronic and paper filing systems to facilitate easy retrieval.
Preferred:
Experience performing purchasing functions in UC system, including knowledge of and familiarity with UC policies and procedures and relevant business and finance bulletins, such as: BUS-4, University Commodity Codes for Equipment and Supplies; BUS-34, Securing the Services of Independent Consultants; BUS-43, Materiel Management; BUS-50, Controlled Substances Program; G-46, Guidelines for Purchase and Use of Cellular Phones; and other policies and regulations pertaining to purchasing activities.
Experience with processing both routine and complex payments and reimbursements in accordance with UC policies and procedures, including familiarity with BUS-79, Expenditures for Entertainment, Business Meetings, and Other Occasions; G-13, Policy and Regulations Governing Moving and Relocation; G-28, Policy and Regulations Governing Travel; G-41 & 42, Policies on Employee Non-Cash Awards and Gifts to Non-Employees: G-43, Policy on University Membership in Organizations; and other policies and regulations pertaining to reimbursement and disbursement activities.
UCI purchasing/accounts payable PALCard/KFS, financial systems and on-line capabilities.
Knowledge of Contract & Grant and EHS Regulations and Policies and Procedures as they apply to purchasing, reimbursements and accounting.
Knowledge of purchasing practices as they relate to the purchase of hazardous materials.
Working knowledge of University Procurement and Accounting policies and procedures as they relate to high value, low value, PAL card purchasing, UCI Corporate Card activities.
